Create Staff Schedules

Creating staff schedules ensures that each team member’s availability is accurately reflected in your system, allowing for efficient booking and resource management. This process involves setting weekly availability patterns and blocking specific hours when staff are unavailable. Accurate scheduling helps prevent double-booking and ensures customers can only book staff when they are available.

To create staff schedules

  1. Navigate to Settings in your system. The Settings menu opens, displaying various configuration options.
  2. Select Team from the Settings menu. The Team section appears, listing all staff management features.
  3. Choose Schedules within the Team section. The Schedules screen opens, showing staff members and scheduling options.
  4. Select the staff member whose schedule you want to manage. The scheduling options for the selected staff member are displayed. Note: Make sure you select the correct staff member to avoid changes to the wrong schedule.
  5. Review the two main scheduling options: Weekly Availability and Block Hour. Both options are visible for the selected staff member.
  6. Click Weekly Availability to customize which days of the week the staff member is available. The Weekly Availability screen shows all days of the week and allows you to set specific dates for availability.
  7. Set the staff member’s weekly availability. a. Choose the days the staff member is available or unavailable (e.g., mark Wednesdays as unavailable). b. Select either a fixed weekly schedule or a rotating schedule. c. For rotating schedules, set the rotation interval (every two, three, or four weeks) and specify the start date. The system automatically applies the chosen weekly pattern to the staff member’s schedule. Note: Rotating schedules are useful for staff with alternating work weeks.
  8. Click Block Hour to mark specific days or times when the staff member is unavailable. The Block Hour screen allows you to add blocks for emergencies or personal leave.
  9. Add a block hour for the staff member. a. Click Add Block. b. Select the date for the block. c. Fill in the details (such as reason or time). d. Click Save. The blocked date or time is saved, and the staff member will appear unavailable for bookings during this period. Important: When a customer tries to book this staff member on a blocked date, the system will show that the staff is unavailable.
