ThePetsMonk, a product of FreshLearn, Inc ("we," "our," or "us"), is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our pet grooming management software and website (collectively, the "Service").

By using ThePetsMonk, you agree to the collection and use of information in accordance with this policy.

Information we collect

Account information

When you create an account, we collect:

• Name and email address
• Password (encrypted)
• Phone number (optional)

Business information

To set up your grooming business profile, we collect:

• Business name and address
• Services offered and pricing
• Operating hours
• Staff member details

Client and pet data

When you use our Service to manage your grooming business, you may enter:

• Client names and contact information
• Pet names, breeds, and health information
• Vaccination records and grooming notes
• Appointment history

Usage data

We automatically collect certain information when you use our Service, including:

• Browser type and version
• Pages visited and features used
• Time and date of visits
• Device information

How we use your information

We use the information we collect to:

• Provide, maintain, and improve our Service
• Process appointments and send reminders
• Send transactional email and SMS notifications about bookings (where a mobile number was provided and consent was given at the point of booking)

Cookies and tracking

We use cookies and similar tracking technologies to:

• Keep you signed in to your account

Third-party services

We use the following third-party services to operate ThePetsMonk:

• Google Analytics - To understand how users interact with our Service and improve user experience
• Resend - To send transactional emails such as appointment confirmations and reminders
• Twilio - To send transactional SMS notifications (appointment confirmations, reminders, ready-for-pickup updates, and replies from grooming-business staff) and to receive inbound SMS replies from clients
• Amazon Web Services (AWS) - To host and store data securely

These third parties have their own privacy policies and may collect information as described in their respective policies.

SMS / text messaging

When clients book an appointment through a grooming business that uses ThePetsMonk and provide their mobile phone number, we send transactional SMS messages to that number on the business's behalf via our SMS provider (Twilio). These messages may include:

• Appointment confirmations and reminders
• Ready-for-pickup notifications
• Payment receipts and refund updates
• One-to-one replies from the grooming business's staff

Message frequency varies based on booking activity, typically one to four messages per appointment. Message and data rates may apply depending on your mobile carrier plan.

SMS consent is collected on the public booking page via an optional checkbox shown at the final step, alongside (but separate from) the Terms of Service agreement. The checkbox is unchecked by default; SMS opt-in is not a condition of booking an appointment or using the Service, and clients who do not opt in can still complete their booking and receive confirmations via email. You can opt out of SMS at any time by replying STOP to any message, and reply HELP for assistance. Opting out of SMS will not affect your booking, but will stop further notifications.

Mobile information sharing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Data security

We implement appropriate technical and organizational measures to protect your personal information, including:

• Encryption of data in transit and at rest
• Secure password hashing
• Regular security assessments
• Access controls and authentication

While we strive to protect your information, no method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.

Data retention

We retain your personal information for as long as your account is active or as needed to provide you with our Service. If you delete your account, we will delete your personal information within 30 days, except where we are required to retain it for legal or regulatory purposes.

Cookies and session data are retained for up to 60 days.

Your rights

Depending on your location, you may have certain rights regarding your personal information:

• Correction - Request that we correct inaccurate information
• Deletion - Request that we delete your personal information

Our Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately.
